By Annabelle Holman

Business nowadays, has changed the way and life of many companies. But most of the companies still trust and put their hands on the phone to communicate with clients. A phone system can really help improve and increase the productivity and communication in your office. Provide your business with this than having many single lined phones. This is not the same to the one we usually use.

It differs from one another in terms of its provider, its size, its type, as well as its features. Although they differ, they also share a common property. A property that will help you give understanding the one you have currently. Before you know and analyze how it works, you have to know the varieties of office phone systems.

Private branch exchange and multiline are the two basic types. The two are the same but they have a different complexity degree. Standard multiline is the simplest. It gives eight to ten single lines from one phone, in maximum. Extensions in the office will display lines 1, 2, 3 and so on.

The private branch exchange which is also called the PBX system. Bigger establishments use this type of automatic phone systems. This will allow you to have an option to add an automation and lines that makes the central receptionist pointless.

Depending on possible options multiline phones work in different ways. For basic systems, each have different numbers. When a line receives a call, the light will blink and it will ring. But if someone is using the line, the caller will get a voicemail or a busy signal. They also have features like call transferring, voicemail and a speaker that will allow a receptionist to buzz employees for an incoming call.

A PBX system works pretty the same major tasks as multiline do, but without any assistance from humans. An incoming call will enter over a buffer, an electronic, central receiving area. One or two actions may be done, depending on how many caller dials.

If you will dial the central number they will allow you to listen to an automated list of extension numbers and allow you to choose which number you want to be connected. But you can skip that, if you want to immediately connect to an extension by directly dialing the extension number.

PBX systems can also provide and allow you to internally connect. Without using any outside line, your employees can use the phone to dial the other office extensions. It can possibly be done pressing or dialing the last three digits of the number. Most PBX systems, you need to take in an additional number before you place the call. And you will be able to place an outgoing call and enter a line outside.

Communication is a very essential part of life, as well as to business success. Whether it is a big one or small, you need to create and maintain a good communication with your clients. It will make your life easy, especially when arranging meetings with clients. So keep your communication lines open.
